1. What data we collect

We collect and process personal data only where we have a lawful basis to do so:

• Booking data — name, contact details, stay dates, payment confirmation and special requests, processed to perform our contract with you.
• Guest registration data — information we are required to collect under the Finnish Act on Accommodation and Food Service Operations (traveller notification).
• Enquiry data — anything you send us via email or our contact form, processed on the basis of legitimate interest to answer you.
• Website data — basic technical logs (IP address, browser type) kept by our hosting provider for security purposes.

2. What we do not do

• We do not sell or rent your personal data to anyone.
• We do not send marketing email unless you have expressly opted in, and every message includes an unsubscribe link.
• We do not use advertising cookies without your consent.

3. How long we keep data

Booking and invoicing records are retained for the periods required by Finnish accounting law (generally 6 years). Traveller notifications are retained for one year as required by law. Enquiry emails are deleted no later than 24 months after the matter is closed.

4. Who we share data with

Only with service providers who need it to serve you — our booking system, payment processor and IT hosting partners — all bound by data processing agreements, and with authorities where the law requires it. Data is processed within the EU/EEA.

5. Your rights

Under the EU General Data Protection Regulation (GDPR) you have the right to access, rectify and erase your data, restrict or object to processing, and data portability. To exercise any right, email privacy@nordhavenhotel.fi. You also have the right to lodge a complaint with the Finnish Data Protection Ombudsman (tietosuoja.fi).

6. Cookies

This website uses only technically necessary cookies by default. If we introduce analytics or advertising cookies, we will ask for your consent first via a cookie banner and honour your choice.

7. Age-restricted areas

The Harbour Club is restricted to persons aged 18 or over. We verify age from photo ID at the door; ID details are checked visually and not stored.
